How to record a customer payment arrangement
Keep installment amounts, dates, customer acceptance and confirmed receipts connected without treating a promise as a payment.
A clear payment arrangement records the balance being addressed, each installment amount and due date, the exact terms accepted by the customer, and the payments actually received. Keep commitments separate from confirmed money and update the remaining balance as receipts are recorded.
Start with the current balance
Confirm the amount remaining after credits and payments. Resolve any open billing question before proposing collection terms. Use the same currency throughout the arrangement; Resolvely currently supports USD balances.
For example, a $120 balance might be offered as two $60 installments with separately stated dates. This is an illustration, not a recommended schedule for every customer. The schedule should reflect the balance and agreement you have reviewed.
Make the terms and acceptance clear
List every amount and date, how the customer can pay, and whom to contact if the arrangement needs review. Preserve the exact version offered and the customer’s acceptance. A staff note saying “will pay later” is a commitment record, not proof that an installment offer was accepted.
Resolvely’s Ops workflow supports reviewed installment offers and customer acceptance in the verified Portal. It also supports promises to pay. Recording an arrangement does not authorize automatic card debits.
Track receipts as they arrive
A partial receipt reduces the balance by the confirmed, allocated amount. Keep processor-confirmed receipts distinguishable from payments recorded by your team, such as bank transfers. A failed or unfinished checkout is not a receipt.
If the customer pays $60 against the illustrative $120 balance, the remaining amount is $60. If your team corrects an external receipt later, retain the correction and recheck the balance rather than deleting the original history.
Stripe also supports partial payments in its own invoicing product, with its own configuration and limitations. See Stripe’s partial-payment documentation. Resolvely tracks its customer balance and Checkout workflow separately; this is not automatic synchronization of Stripe invoices.
Review changes before further follow-up
When a customer misses a date or asks to change the arrangement, review the situation and record the next decision. Do not mark the balance paid because a promise exists. Check for new payments and active review holds before approving another reminder.
Use the collection operations guide for arrangements and promises, and the customer Portal guide for verified access and payment options.
