Privacy Policy
This policy describes what data Resolvely collects, why, where it is processed, and the choices you have.
1. Who we are
Resolvely is operated by Saturn Software LLC, an Oregon limited liability company ("Resolvely", "we", "us", or "our").
We are the controller of account, organization, and billing data: the information about the people who use Resolvely and the organizations they belong to.
We act as a processor for customer data handled on a merchant's behalf in financial resolution cases, evidence, and related communications. The merchant is the controller and decides what data to provide and how to use the workflows. We process this data on the merchant's instructions, as described in the Terms of Service.
2. Data we collect
The information we process depends on the workflows you use and the accounts you connect.
| Category | Examples | Source |
|---|---|---|
| Account and organization | Name, email address, sign-in identifiers, organization details, memberships, and roles | You and your organization's members |
| Connected accounts | Payment or commerce account identifiers and credentials needed to maintain the connection | Providers you authorize us to connect |
| Cases and customer records | Payment and invoice details, balances, customer identifiers, billing questions, and case status | Connected providers, your team, and customer interactions |
| Evidence and communication | Documents, order and delivery records, policy excerpts, messages, and review requests | Your uploads, connected systems, and customer interactions |
| Drafts and decisions | AI-assisted response drafts, cited evidence, approvals, arrangements, and submission records | Generated by the service and actions taken on a case |
| Recovery and billing | Confirmed recoveries and payments, fees, credits, and invoices; payment card details are held by the payment provider | Connected providers and our billing records |
| Activity and service logs | Case activity, account actions, and technical records used to operate and secure the service | Generated as you use the service |
We do not collect card numbers or bank details. Payment details for Resolvely invoices are entered on Stripe-hosted pages and held by Stripe.
3. Purposes
We use the data above to:
- provide financial resolution workflows, including case management, evidence, billing reviews, payment requests, and customer self-service;
- prepare response drafts and submit responses approved by the merchant;
- track confirmed payments and recoveries, reconcile case outcomes, and bill applicable service fees;
- keep the service secure, including detecting abuse and fraud and investigating incidents;
- provide support and respond to your requests;
- comply with legal obligations and enforce our agreements.
4. AI processing
We use Amazon Bedrock to help draft responses. It processes the relevant case details and evidence text, including text extracted from uploaded documents, within the United States.
Dispute response drafts require review and approval by a person in your organization before submission. A draft that contains a claim not supported by cited evidence cannot be approved.
We do not use your data to train AI models. Amazon Bedrock does not use the content submitted for drafting to train its underlying models.
6. Subprocessors
We use the following subprocessors to operate Resolvely.
| Subprocessor | Purpose | Location |
|---|---|---|
| Amazon Web Services | Hosting, secure storage, account authentication, and service operations | United States (Oregon) |
| Amazon Bedrock | AI-assisted response drafting | United States |
| Stripe | Connected-account access, dispute submission, and payment processing | United States |
| Google Workspace | Email and support correspondence | United States |
We will update this list before adding a subprocessor that processes merchant data.
8. Retention
We keep data for the life of the account. An Owner can request deletion by emailing privacy@resolvely.com from their account email.
Audit and billing records, including invoices and the records that support them, may be kept after deletion as required by law or to resolve billing questions.
9. Security
We encrypt data in transit and at rest, restrict access to authorized members of the relevant organization, protect connected-account credentials, and keep an audit trail of case activity. Sensitive credentials and request content are redacted from service logs.
The security page describes our controls in more detail.
10. Your rights
You may request access to, correction of, deletion of, or a portable copy of your personal data by emailing privacy@resolvely.com. We will verify the request and respond within the time the applicable law allows.
If you are a customer of a merchant that uses Resolvely and your data appears in a financial resolution case, please contact that merchant. We assist merchants in responding to their customers' requests.
Where US state privacy laws apply, we honor the rights they provide, including the right to know, delete, correct, and opt out of the sale of personal data (which we do not do). We will not discriminate against you for exercising your rights.
11. Children
Resolvely is a business service and is not intended for anyone under 18. We do not knowingly collect personal data from anyone under 18. If you believe we have, contact privacy@resolvely.com and we will delete it.
12. US hosting and international transfers
Resolvely is hosted in the United States. If you use Resolvely from outside the United States, your data is transferred to and processed in the United States, and by using the service you consent to that transfer.
13. Changes
We may change this policy. Changes are announced by email to the Owner's account email or in the product, and the date at the top of this page shows when it was last updated. Material changes take effect 30 days after notice.
